Board responsibilities:

  • Approve dues recommendation from the President

  • Plan and set agendas for at least two board meetings per year plus any special meetings the Chairman may deem appropriate. .

  • Approve membership as appropriate for membership candidates submitted by the club’s Vice President.  

  •  General oversight of all club activities.

 

 

Officer responsibilities:

President:

  • Recommend dues for the year (subject to board approval) and plan and execute all regular club meetings.

  •  Make certain all dues are collected in a timely manner and report delinquents to the Board.

  •  Ensure club solvency by managing revenues and expenses appropriately.

  •  Secure appropriate venues, speakers and caterers for all club events and make sure that meetings run well.

  •  Set meeting dates and venues for the year (subject to Board approval) and have them posted on the club calendar at the beginning of the year.

  • Recommend club membership size including creating sub groups of members designed to ensure the long term viability of the club.

  •  Ensure that all information on the club website is timely and accurate so that club members can rely on the information provided thereon.

  •  Report on the number of active club members at each club event.

 

 

Vice President:

  • Responsible for tracking the membership of the club including ensuring that all required information re members is given to the club Secretary for posting on the club rooster and is recorded thereon. 

  • Tracking the status of proposed new members, making certain that proposed new members attend the requisite two meetings as well as introducing club applicants to as many members of the club as possible when they attend their two meetings. 

  • If a candidate appears acceptable to the Vice President and they have met the requisite two meeting minimum the Vice President will recommend and present the candidate to the Board for formal membership approval. 

  •  Maintain the club membership waiting list in the order applicants request membership.

  • Generally assist the President in securing appropriate venues and speakers as requested. 

 

Treasurer:

  • Responsible for annual dues billing 

  • Keeping the checkbook and paying all invoices promptly

  • Send financial reports monthly to the board of directors

  • Advise club President of any member dues not paid in a timely manner. 

 

 

Secretary:

  • Responsible for managing the clubs data input resource and website.

  •  Responsible for ensuring that the cost of maintaining the club website is reasonable.

  • Responsible for having club name tags prepared for all members and having them available at all club functions.

  •  Responsible for ensuring that the Club Roster is up to date and complete based on information provided to the Secretary from the Vice President.
